Field note: a GTA customer needed a grand piano prepared for a long-distance move. The question was whether heavy padding was enough or whether the piano needed a custom crate for the cabinet, legs, lyre, pedals, and finish.
The decision came down to distance, handling points, truck transfers, weather exposure, and instrument value. Long-distance piano moving creates risks that a short local move does not: road vibration, multiple load points, humidity changes, and less control over every stop. The lesson is that crating is not an upsell when the route risk is high. It is a way to control damage before the piano starts travelling.
What I checked before recommending a crate
I first wanted to know the grand piano size, finish condition and destination, then count every point where another crew or vehicle would handle it. A direct local delivery under one crew's control is different from a shipment that may be transferred, stored, unloaded at a terminal or moved again at the destination.
I also checked how much room was available for disassembly and crate construction. A protective crate is useful only when the completed package can pass through the building and be loaded safely. Door height, loading-dock clearance, truck opening and the equipment available at the receiving end all belong in the crating decision.
Parts that need separate protection
The piano body is only one part of the shipment. Legs, lyre, pedals, hardware and removable pieces need labelled, padded positions so they do not shift or contact the cabinet. The keyboard side and finish require protection from both direct impact and vibration during the route.
Before packing, I want a clear photo record of the cabinet, lid, legs and existing finish marks. That record helps the owner and each transport party understand the condition before the piano enters a multi-stage shipment.
How I explain the crating quote
A crating quote reflects more than lumber. It includes piano preparation, protected disassembly, measurements, padding, the crate structure, labour to load it and the handling conditions expected during transport. A heavy package that cannot be lifted or secured by the receiving carrier is not a complete plan.
The customer should confirm who controls the shipment after pickup, whether the crate will be opened at the destination, and what equipment the receiving location can provide. If those answers are unknown, the crate design and delivery plan cannot be finalized responsibly.
Practical checklist before long-distance crating
- Send full photos of the grand piano, including the legs, lyre, lid and finish.
- Confirm the piano length and the narrowest doorway or loading opening.
- Identify every carrier, warehouse or transfer point in the planned route.
- Confirm whether a lift gate, loading dock, forklift or other receiving equipment is available.
- Decide who will uncrate, reassemble and place the piano at the destination.
Why this matters after delivery
Because weather and room humidity were part of the job, I also thought about what would happen after delivery. A piano can arrive without scratches and still need time to settle before tuning. In most home moves, I usually prefer giving the piano time to adjust before final tuning. The move is only one part of the instrument's change; the new room finishes the story.
Why climate was part of the move plan
A piano is not only a heavy object. It is a wooden and felt instrument held under high string tension, and it reacts to room conditions. When a piano leaves a warm room for cold outdoor air, or moves from a dry heated home into a more humid space, tuning stability and action feel can change after delivery.
For winter and shoulder-season moves in Toronto, the safest plan is to shorten outdoor exposure. Wrapping, truck position, elevator timing, and doorway preparation should be ready before the piano leaves the room.
What I watch after delivery
After a climate-sensitive move, I pay attention to where the piano is placed in the new room. Forced-air vents, direct sunlight, basement dampness, and very dry winter heating can all work against tuning stability.
In most homes, the piano should settle before tuning. A one to two week waiting period often gives the soundboard and action time to adjust, unless the piano is needed immediately for a performance or lesson schedule.
Bottom line
A piano move is safest when the route, timing, equipment, and room conditions are understood before the piano leaves its current spot. That is the difference between simply moving a heavy object and moving an acoustic instrument responsibly.
